How Wedding Pilot works

The whole thing, in six steps

1. Pick a designTen animated designs. Choose one on the homepage — no account needed to look.
2. Add your detailsNames, your events, venues, dates. Saves as you type, so you can stop anytime.
3. Choose your web addressSomething like safaandtauheed.weddingpilot.co.uk. It’s yours.
4. PublishYour invite goes live at that address.
5. Add your guests, then sendEach party gets their own link. You send them from your own WhatsApp, one tap each.
6. Watch the replies landNumbers split the way caterers ask for them. Export a CSV when you need it.

Building it

The builder has eight steps — the couple, the families, the events, the details, the design, a photo or video, your web address, and publish. You can move between them freely and it saves as you go. Nothing is final until you publish, and you can keep editing afterwards.

Events are separate.Nikah, Walima and Mehndi each get their own date, venue and guest list. You decide who's invited to which — the groom's colleagues can be invited to the Walima only, and they'll never see the Mehndi.

You need both names and at least one event with a date and venue to publish.The builder shows you what's still missing.

Where your invite lives

When both display names are filled in, we suggest an address — Safa and Tauheed becomes safaandtauheed. You can change it to anything you like: lowercase letters, numbers and hyphens, 3–40 characters. We check it's free as you type, and some words are reserved (www, app, admin and similar).

When you publish, your address goes live at yourname.weddingpilot.co.uk— a real address you can say out loud, not a long link full of random characters. Change it later if you want; the old one stops working, so re-share if you'd already sent it.

The list, and how many each family can bring

Add guests by hand or upload a CSV. You add them as parties, not individuals — "The Kamran Family", not five separate rows — because that's how people actually invite.

Each party has an invited count: the number they can bring. When they reply, the form won't let them exceed it. Under-5s don't counttoward it — they don't take a seat or a meal — but you still see them in your totals, because your caterer will ask.

Every party gets their own private link. It opens their invite, with their name, their events and their allowance. There's no shared password and no guest login.

Getting invites out — including to 1,000 people

Go to Send invites. Each party has a Send button. Tapping it opens WhatsApp on your phone with the message written and their link attached — you press send. It goes from your number, not ours, so your family see a message from you. It's free, and there's no limit.

The message is in each guest's language automatically — English, Urdu, Arabic, Bengali, Turkish or Malay, based on what you set for them.

For a big list, share it out.Press "Divide up", tick who's helping, and we deal the unsent invites out evenly between you. Each person only sees their own share, so nobody gets messaged twice by two different relatives. Family can only be given guests on their own side.

The queue remembers where you got to, so you can do fifty tonight and the rest tomorrow. If someone has no mobile number saved, they'll be marked so — copy their link and send it another way.

RSVPs and headcounts

Every reply splits into adults (15+), ages 5–15, and under-5s, per event and per side. That's the shape caterers and venues ask for, so you never have to re-count a group chat. Download CSV for caterer gives it to them in one file.

You'll see who hasn't replied, and we'll nudge you as your RSVP deadline gets close. Guests can change their answer using the same link.

Planning the day

What we send you, and how to stop it

While you're planning we send occasional emails about yourwedding — tasks due, who hasn't replied, your headcount. How often depends on how close the day is: monthly when it's far off, weekly in the middle, and only if there's actually something to tell you. Nothing on the day itself.

Every one has an unsubscribe link, and you can choose what we send at email preferences. Sign-in links and RSVP confirmations always come through — you asked for those.

Your guests' details

Guests never create an account and are never tracked. We don't sell your data, and your guests never see an advert. The directory is how we pay for this, so couples don't have to.

Nobody at Wedding Pilot can open your wedding unless you grant a time-limited support pass — and you can revoke it whenever you like.
